SMMT

The Challenge

SMMT is the voice of the UK motor industry, supporting and promoting its members’ interests, at home and abroad, to government, stakeholders and the media. They had already implemented a single HR & Payroll solution. Their challenge was to reduce the amount of administration required to ensure that the payroll was run on time, was accurate and they were up to date with any
new legislation.

The Solution

SMMT was introduced to Symatrix, effectively becoming the SMMT Payroll Team.
Symatrix deliver this Service via our CIPP qualified BPO specialists from our Manchester Service Centre. This includes the provision of a Payroll Helpdesk with a dedicated phone line, which SMMT employees can call with queries. Symatrix’ proactive service also informs employees of any upcoming changes in tax codes. The Service also includes advice and guidance to SMMT HR of any upcoming legislative changes and liaising with third party agencies.

Symatrix provided a set of process maps and held a workshop to understand the configuration and associated rules of the SMMT payrolls. A customer operating manual was produced clearly defining what was included / excluded within the Service, when tasks would be done and who was responsible to do it.

“The team at Symatrix were amazing and we truly see them as an extension of our HR team. They are excellent. They are approachable and very knowledgeable so we really see this as a partnership. From the very first time we met Symatrix I was inspired with confidence that Symatrix were the people who we could put our trust in to carry out the important role of being our payroll team. They have very strong project management, which meant that we received a clear and concise user manual, knowledge transfer was easy, they set the scenarios and the project was delivered on time, to plan and there were
no surprises at all. Their communication is second to none.” Katie Milbourn – Head of HR.

Symatrix now deliver three payrolls accurately and on time each period with a reconciliation pack with summaries and rationale of where and why payroll has gone beyond the agreed parameters. This provides complete transparency of the payroll process including all checks, balances and approvals. This enables Symatrix to commit to a number of high service levels agreements (SLAs) around accuracy, responsiveness and timeliness.

A monthly service delivery review is held to ensure that Symatrix is delivering to the agreed SLAs and all parties continue to be delighted with the service.

The Results

SMMT has seen a significant drop in the amount of administration required to ensure their employees are paid accurately and on time. They are confident that they have partnered with an organisation that truly understands payroll. With the experience of running payrolls for multiple clients, across a range of industries, Symatrix has the knowledge to offer advice and guidance when required. Concern over keeping abreast of changes to legislation has
been removed due to the proactive service delivered by Symatrix, informing SMMT of any upcoming changes before they come into effect. In summary, SMMT now feels it has a ‘safe pair of hands’ running their payroll.

Chris Brooks, Managing Director at Symatrix adds, “We are delighted that SMMT see us as an extension of their own team. Everyone we have met at SMMT works collaboratively with us to enable us to ensure that we deliver a first class service, and making sure that we pay their people on time and accurately.”
